Sr. Associate – Service Modernization Projects

Job Summary:

As a Sr. Associate – Service Modernization Projects, you will support the planning, coordination, documentation, and execution of service modernization projects. You will play a key role in ensuring smooth operational delivery, interfacing with internal teams, subcontractors, customers, and supply chain functions to drive project execution and service outcomes.

Key Responsibilities:

Project Documentation & Coordination

  • Prepare job summaries and related documentation (costing sheets, customer approvals/POs, unit selection sheets, quotations).

  • Ensure accurate records are maintained and submitted for review.

Data Management & Tracking

  • Maintain and update project trackers and job logs.

  • Send equipment and pricing details to Procurement and monitor B2B order status.

Procurement & Supply Chain Coordination

  • Process B2B order requests for equipment/parts and follow up on delivery status.

  • Coordinate with the supply chain team to obtain ETAs for orders.

Logistics & Delivery Coordination

  • Support logistics and delivery planning for equipment and project materials.

  • Ensure alignment with project schedules and customer requirements.

Site Access & Documentation Support

  • Coordinate site access with subcontractors and customer portals.

  • Process documentation for site access passes as required.

Finance & Billing Support

  • Prepare delivery orders, job completion certificates, and warranty certificates.

  • Support invoicing processes and obtain finance clearance for deliveries.

Commissioning Support

  • Initiate commissioning requests and create service orders.

  • Follow up and upload commissioning reports to CRM.

Cost Review & Approvals

  • Prepare revised costing sheets and initiate job variation approvals.

Internal Process & Stock Management Support

  • Maintain internal trackers and generate service orders.

  • Coordinate part requests and stock transfers with other business units.

Compliance & Audit Support

  • Support internal audits and quality control activities.

  • Organize and upload handover documents/files in SAP CRM.

Additional Tasks

  • Execute other tasks assigned by the direct manager as per business needs.

Minimum Requirements:

  • University degree or equivalent (Engineering/Technical discipline preferred).

  • At least 3 years of relevant experience in project coordination, service operations, or HVAC/MEP environments.

Skills & Competencies:

  • Strong documentation and tracking skills.

  • Good coordination and communication with internal teams and external stakeholders.

  • Familiarity with CRM/SAP and project tracking tools (preferred).

  • Basic understanding of HVAC systems and service modernization processes.

  • Ability to multitask and handle operational follow-ups.
