Payroll Specialist – Japan

Position Summary
The Payroll Specialist plays a critical role in ensuring accurate, compliant, and timely payroll operations for Japan. This position requires strong end-to-end knowledge of payroll and time & attendance processes, as well as the ability to operate effectively within a global HR and payroll systems landscape.
The role supports stable payroll delivery in a complex and evolving environment, while also contributing to process improvement and future-state readiness. The ideal candidate brings strong execution skills, sound judgment, and a continuous improvement mindset.

Key Responsibilities
Payroll & Time & Attendance Operations
•    Validate and reconcile time & attendance data prior to payroll processing
•    Execute payroll processing activities in accordance with the defined payroll calendar
•    Perform payroll reconciliations and ensure accuracy of payroll results
•    Monitor banking files, investigate  rejections, and coordinate resolution
•    Support statutory payroll activities including payroll lodgments and year-end processes
Systems & Data Management
•    Manage integration data between Workday and payroll systems
•    Support payroll data interfaces and third-party integrations
•    Maintain payroll blueprints, standard operating procedures, and documentation
•    Perform basic testing and quality assurance for payroll-related change requests
•    Prepare and analyze payroll reports
Employee & Stakeholder Support
•    Respond to employee payroll inquiries 
•    Conduct in-depth research and analysis for escalated payroll issues
•    Maintain proactive, day-to-day communication with internal stakeholders
•    Collaborate closely with external payroll and system vendors
Continuous Improvement & Projects
•    Identify opportunities to improve payroll processes, controls, and documentation
•    Support and manage small-scale payroll-related projects
•    Contribute to operational stability during periods of change or transition

Education & Qualifications
•    Bachelor’s degree or equivalent required
•    Payroll-related certification or qualification preferred

Experience & Skills
•    3–5 years of relevant experience in Japan payroll, HR, time & attendance, and/or payroll IT
•    Hands-on experience with SAP payroll preferred; knowledge of Workday and related integrations is an advantage
•    Understanding of Japanese labor law and social security regulations
•    Working knowledge of payroll processing for international assignees preferred
•    Strong analytical skills with attention to detail
•    Proficiency in Microsoft Office tools (Excel, Word, etc.)
